Woodhall Spa 10k Community Road Race

It is with great regret that we have taken the difficult decision to cancel this year’s Woodhall Spa 10K and Family Fun Run which was due to take place on 6 June.

For the past six months, we have been working hard to find a solution to make the 2021 event viable whilst ensuring the enjoyment and safety of our competitors, spectators, marshals and volunteers, including discussions with Run Britain and the British Association of Road Races. Unfortunately, owing to the ongoing uncertainty surrounding COVID-19 and the lifting of lockdown restrictions we feel it is the most appropriate decision to suspend the 2021 event and give clarity by making the announcement now. The indications that restrictions on large group gatherings and social distancing will still be in place into the summer coupled with an inability for many of our volunteer groups to get together within their own setting let alone discuss whether they are able to support the 10K mean that the logistics for this year’s event just become too complicated.

We understand that this decision will be met with disappointment by our many competitors and supporters, but we know you recognise the responsibility we have to all our race and community stakeholders to stage a safe and successful event.

We look forward to hosting next year’s 10K race on Sunday 12 June 2022 and hope you will save the date to include us in your race calendars.

Please note – we will be supporting a virtual 10k and details will be published here and on our Facebook page in the next few days. Your support for this event will be greatly appreciated as it will be raising valuable funds to support Jubilee Park.

The course is a BARR (British Association of Road Races) certified course, consisting of one loop starting and finishing in Jubilee Park. It is a flat scenic route capable of producing personal best times. Each km is marked and volunteer marshals are at each junction.

Refund and Transfer information
From the moment we begin to organise an event, we start to incur costs. Your entry fee is invested into the cost of staging the event – everything from barriers to toilets, printing to safety pins, race numbers to marketing. Organising any event requires a considerable amount of forward planning, risk and expense.
We understand that very occasionally it may be necessary for you to cancel your booking. For the good of all competitors our Refund & Transfer Policy is strictly adhered to and no exceptions are made.
Notification - 8 weeks or more before the event
If we receive your returned race pack at least 8 weeks before the event, we will endeavour to re-sell your race number. If we are able to do this we will then refund your entry fee (not including any payment processing fees)
Notification – Between four & eight weeks before the event
At this point, we are unable to refund your entry fee. If you wish to transfer your number to another runner, we will do this at a charge of £5.00
Notification of four weeks or less
We operate a strict no refund or transfer policy.

Event Cancellation
Circumstances may dictate that for reasons beyond our control we are unable to go ahead with the race. This may well happen last minute due to issues such as extreme weather; an accident on the route; the course is a crime scene or a more obscure reason.
If there was to be an issue with the race in the lead up to the event or on the day, we would try to do the following in order of preference:
1. Seek to re-route the course- this would result in the race distance probably not being as advertised. We would endeavour to make it as close as possible; however, it may well have to be reduced significantly.
2. Seek an alternative date- if conditions/events dictated we could not stage the race on the advertised day then we would try to find an alternative date.
3. Cancel the race

What we can’t do:
Provide refunds. Once we have committed to putting on the race, considerable money and time is invested, this is funded by the entry fees. We need to book facilities, hire equipment, and arrange medical provision. If the event is cancelled we will still incur these costs. As a result, we are not able to provide refunds if as an absolute last result we have to cancel the event. We would be absolutely devastated to have to cancel the race for reasons beyond our control but if there is a question over safety, we will always put our runner’s safety first.


By entering the race the participant agrees to abide by all the Terms and Conditions:

• The participant understands that the races are of a strenuous nature. The participant also understands the medical and physical risks involved and by entering they agree that they are capable of competing in the event.
• The participant agrees that they are solely responsible for their actions and the Event Organiser, its officers, employee, agents, affiliates, associated companies, sponsors or medical advisers are not responsible for any injury or illness that the participant may suffer as a result of his/her participation in the event.
• The participant agrees to comply with all race rules, instructions and guidelines given by officials, marshals and safety officials and agrees that the Event Organiser will organise and run the event and will have sole authority and the final decision relating to the safety, running and organisation of the event, the event rules, times and placing’s.


General Data Protection Regulation
By agreeing to our Terms and Conditions, the participant agrees to the organiser storing his/her personal data including name, address, email address, date of birth, telephone numbers, emergency contacts. Includes participants and volunteers and using this information for the purpose of organising the event in order to send out vital race information.
Personal data will not be used for marketing purposes unless marketing consent received.
In compliance with the General Data Protection Regulation (GDPR) the participant has the right of access to his/her personal records held on the organiser’s computer. By agreeing to our Terms and Conditions, in order to send the participant a race pack and produce his/her race results, the participant authorises the Organiser to release personal details (including his/her full name and address) to the pack provider and timing results company. The participant also authorises the organiser to disclose his/her information for medical purposes on the day of the event. All Woodhall Spa 10k third-party providers adhere to GDPR and will not use third party data for marketing purposes
